What is a message template?

A message template is a predefined message that you can use when you are composing a message to patients. Message templates are an excellent way to save time if you are sending the same message many times.

With Hero's message templates you can predefine if the message will contain an appointment invite link or a questionnaire link, as well as any SNOMED code you want to save to the patient's record on delivery of the message.

⚡ On average using templates save approximate 4 minutes per message sent

How do I use a message template?

  1. Create a new message via the home dashboard or via the patient dashboard

  2. When the message builder opens click the option Add template - this will open a search bar.

  3. Search for the template name in the search bar.

  4. Click on the template name in the list.

  5. The message content, link placeholder and SNOMED codes will automatically be applied to the message builder.

  6. You can edit the message content by click on the message builder and editing the text.

  7. If the template contains a link place holder, click the placeholder and create the appointment invite link or pick the questionnaire you want to send.

  8. Once you have reviewed the message content and link you can then click Send.

How do I create a message template or edit an existing message template?

  1. Navigate to the settings by clicking the ⚙️ icon in the top right of the page

  2. Open the communication section of the settings and click message templates, this will open a list of all the templates available at your practice group (include all the Hero created templates)

  3. To create a new template click + add template at the top of the page, or click options> edit on a template that has been created by your practice.

  4. Now you are on the template page you can add/change the template name using the name input field.

  5. To compose the message click on the message builder box and type out your message

  6. To add a place holder appointment invite link or a questionnaire link click add placeholder and select the link type you wish to insert.

  7. You can also define which SNOMED codes will be prefilled when the template is used by checking the SNOMED codes option and inserting the SNOMED code you wish to add to the template.

  8. Once you are happy with your template, make sure you review the content, placeholder link and SNOMED code then click Save templates

Avoid adding patient specific information to the template. If the message will need patient specific information we recommend inserting a place holder (e.g. {{testresult}}) so other users knows what to add to the message when they use the template.

⚠️ Template message content is limited to 450 characters to ensure they can be used for SMS and email messages ⚠️
