Learn how to send a batch message to a cohort of patients with a link to complete a questionnaire

How to send a batch message with questionnaire links

  1. Navigate to manage campaign on the main home dashboard

  2. Click + New campaign to create a new campaign

  3. Name your campaign and select Questionnaire campaign type

  4. Upload your patient list

  5. Compose the message you want to send to your patients

  6. Click Add booking link and then Questionnaire link

  7. Select which questionnaire you want to patients to complete form the dropdown

  8. Review your message and click send

💡Top Tip: You do not need to write "use the link provided to complete the questionnaire", this is already included when you add an invite link.

How can I see if patients have completed the questionnaire I have sent?

There are two ways to see if patient have complete a questionnaire sent as part of a batch message. To get a overview of the batch message's overall engagement you can use the campaign analytics; to see each individual response you can see these in your inbox.

Campaign analytics

  1. Navigate to manage campaign on the main home dashboard

  2. Find the questionnaire campaign you created and click View

  3. On the left hand side you can see the patient analytics this will show you how many patients:

    1. were added to the campaign

    2. received the message

    3. opened the questionnaire link

    4. completed the questionnaire

💡Top Tip: See which patients complete the questionnaire you can use the patient filters and filter by Completed, this will show you a list of all the patients that completed a questionnaire. You can then message them all, remove them from the campaign or download the list of patients.💡

View response in the inbox

  1. Navigate to the inbox using the navigation bar on the left side of the page

  2. Click on communications and then questionnaires this show you all the questionnaire that have been submitted to your practice

  3. Click on the submission row you want to review, this will open the response in a side bar

  4. From here you can save the response to the patient's record

What does it look like for a patient?

When a patient receives a questionnaire link via a batch message they will need to verify their date of birth before they can complete and submit their response.

If your an NHS practice any questionnaires create through Hero will be styled according the NHS design style kit.

If you are a private practice questionnaire created through Hero will be style according to your configured brand colours.

How do I track uptake?

To track the uptake of your batch message you can see this via the campaign analytics on the campaign's dashboard, to see how to do this see the campaign analytics section of this article.

⚡ To get the best of engagement on batch message from patients we recommend scheduling the message to be sent either at lunch time (12:00 - 13:00) or at the end of the day (17:00 - 19:00). This is when patient are most likely to see and respond to your message.
