Hero appointment types are configured in order to provide a service for patients to book into your practice. You can use them on their own or if you have an EHR setup (EMIS or SystemOne) with Hero, you can directly link with any slot types you have in your EHR.

How to setup a new appointment type

With an EHR integration

When viewing the Appointment types table in the settings of Hero, you can add a new slot type:

  1. Search for the slot type you want to add from your EHR.

  2. Select the slot type you want to add (You can add multiple slots by searching again and adding additional slot types).

  3. Click save to link that slot type to Hero and it will appear in the table.

To finish your setup, continue to edit your appointment to ensure it's suitable for patients when they book:

  1. Find your slot type in the table and select the Options dropdown and then Edit.

  2. Provide a patient facing name for you appointment to help patients identify a suitable appointment.

  3. Set attendance as video and an email will be sent to the patient prior to the appointment taking place in order to join a video link for their consultation.

  4. Choose an intake form for patients to complete prior to your booking.

Without an EHR integration

When viewing the Appointment types table in the settings of Hero, you can click add appointment type and setup a few initial options:

  1. Provide a patient facing name for you appointment to help patients identify a suitable appointment.

  2. Set attendance as video and an email will be sent to the patient prior to the appointment taking place in order to join a video link for their consultation.

  3. Choose an intake form for patients to complete prior to your booking.

What can be configured on an appointment type

  • Patient facing name

  • Attendance (In-person/Video consultation)

  • Intake forms

  • Cancellation

  • Location availability

  • Patient bookable

  • Pre/post booking messaging

  • Restrictions

    • Sex

    • Age

    • ODS code (Cross-org)

  • Network access (Cross-org availability)

    • Allow other practices in your network to send patients links to book at your practice.

  • Apps

    • Pricing using Stripe

    • Insurance using Healthcare

Non EHR Functionality

When you're not using an EHR to power Hero, you can configure your appointments with further options.

Duration

Set the duration of the appointment to block out the appropriate time for the appointment. This will be reflected on the Hero diary when a booking is made and gives a clear picture of clinician appointment schecdules throughout the day or week.

Locations

Configure Locations for your Practice Group and set the availability of the appointment for your chosen locations. This allows you to offer the correct services when you're practising at multiple sites.
