Booking configuration in Hero with SystmOne

Once Sidekick is connected, you’ll need to configure how bookings from Hero flow into SystmOne.

This is a one-time setup that ensures your locations, practitioners, and slot types are mapped correctly.

Why configuration is needed

To make sure bookings land in the right place, you will need to map your SystmOne records into Hero.

How to configure booking

  1. Go to Hero settings > Integrations > SystmOne.

  2. You’ll see three sections to configure:

    • Locations

    • Practitioners

    • Slot types

  3. Use the search box in each section to look up your SystmOne records.

    • Sidekick must be running and connected to SystmOne to fetch results.

  4. Select the correct SystmOne item for each and save.

  5. Once saved, these items will appear in Hero whenever you create or manage appointments.

What happens when patients book

When a patient books an appointment through Hero, the system will:

  • Try to match the patient with a record in your SystmOne.

  • If a match is found → the appointment is booked directly into that patient’s record.

  • If no match is found → the appointment is booked into your designated Unregistered Patient record (usually a “test” or “dummy” patient in SystmOne).

Once the correct patient is added to SystmOne and linked with their Hero record, the booking will automatically convert to the right patient.

Tips

  • If a practitioner or slot type isn’t appearing, check Sidekick is connected and try searching again.

  • You can update mappings at any time if your setup in SystmOne changes.
