Chargeable Items

Introduction: What is a chargeable item

Chargeable item is the term used in Hero to refer to a product or line item on an invoice, this may be a prescription fee, a blood test or an additional consultation fee. Chargeable items can be added to an invoice and will automatically assign the correct price and ensure that the reporting of invoices and payments is easy to manage.

In this guide, we will look at how we can create a chargeable item, and what you can include on it.

Before getting started there is a key distinction to be made between patient-facing items (self-serve) and administrative items.

  • Self-serve items are services that patients can access through your portal, for example, home test kits

  • Administrative items are services that may be issued during the consultation, for example, specific blood test requests or extended consultation fees

Now we have made the distinction between the 2 types of chargeable items we can start creating them.

Step 1: Add a chargeable item

To create a new item we will need to go to Setting>Service & chargeable items>Chargeable items from here we can click +Add in the top left to create a new one. This will open the item's settings page.

Now we will need to provide a name, code (shorthand name only visible to administrators), price and billing category. After adding all this we need to select if it is a self-serve item or for administrative use only.

If it is for administrative use only we can now save and continue adding new items.

Step 2: Configuring self-serve items

If you select self-serve in the previous step an extra menu will have appeared showing, all of which are optional:

  • Allow quantity - this will let patient order multiple of this item in one go

  • Description - similar to the appointment description this is a short description of the item

  • Before you order - this will be displayed to the patient prior to purchase

  • Need to know - this will be shown the patient after purchase on the confirmation screen and in their confirmation email

  • Booking form - you can add a form for the patient to complete prior to purchase, you will need to have set up a form prior to adding it to the item.

Once you have completed this section you can save the item and continue.

Step 3: Editing existing items

Once you have created an item it will appear in your items catalogue (Setting>Service & chargeable items>Chargeable items) here you can edit, delete or create link for each item, to do this go to Options and select your desired action.
