Networks: How to configure cross-organisational self-booking links using Networks

Learn how to setup cross-organisational booking links, so that you can invite patients to book at your partner sites

Updated over a week ago

Practice groups can now form networks with each other to provide services to patients in other practice groups. Once a network is created, patients from one practice will be able to book appointments in all the locations (and with all the practitioners) of the other practice group(s) in the network.

How do I create a network?

  • Click 'Settings' > 'Your business' > 'Practice group settings'

  • Select 'Create network'.

  • You will then be taken to a window where you can name your new network and add practice groups that are also using Hero to the network; either by searching the practice name or the ODS ID number.

How do I give my networks permission to use my appointment types?

To enable appointment types to be available across a network, you must first edit the appointment permissions on the appropriate practice group for the given appointment type. To do this:

  • Go to 'Settings' > 'Services & chargeable items' > 'Appointments' > 'Edit' on the desired appointment type.

  • Then 'Network access' and click on the desired practice groups you would like the appointment to be available to.

If you would like the appointment to be available to all practice groups, select 'All networks'.

How do I give patients access to book appointments at other practices in my networks?

You can send appointment links to your practice for sessions that will take place in different practice groups. To do this:

  1. Create a message (either SMS or email) and search for the correct patient.

  2. Then select 'Add invite link' > 'Booking link'.

  3. You can select all the available locations in all your networks, both within your practice group and the practice you are connected with via your networks.

  4. After choosing the location, you can then select the desired appointment.

  5. Add the self-booking link to your message.

๐Ÿ’ก An appointment will only be made available to your patients if the practice group running that appointment changed the permissions and made that available.
