How to get set up with Hero

There are a few steps to get set up to start using Hero, these include setting up Hero and also setting up your Electric Health Record (where applicable) integration with Hero. This guide will walk you through these steps.


Configure EMIS

To benefit from Hero’s functionality, it is important to establish a connection between your EMIS instance and Hero. This will allow you to take advantage of all the features and capabilities that Hero offers.

To get started, follow the steps below to establish a secure and reliable connection between your EMIS instance and Hero. If you encounter any issues or have any questions along the way, please don't hesitate to contact [email protected] for assistance.

Great, you have configured EMIS to allow Hero to integrate with it.

Our team will now need to connect Hero to your EMIS instance. For this, we need the following information for the Hero User you set up:

  • Username (set up in step one)

  • API Password (set up in step two)

  • Organisation ID/CDB


The Basics

Welcome to the next step in setting up your Hero Instance. We are excited to help you streamline your appointment process and ensure that your patients receive the best possible service. By establishing a successful connection between EMIS and Hero, you can now pull through the relevant data (locations, practitioners and appointment types) so that Hero can effectively book and manage appointments. This means that you will have all the information you need at your fingertips, allowing you to focus on providing the best care possible to your patients.

Top Tip: You only need to add appointment types you would like to make bookable through Hero Health.

Set up apps and integrations

Before you proceed you may want to connect a Firetext account to your Hero account so you can start sending SMS messages straight away.

Once you have signed up, you can now connect your Firetext account to your Hero account by following this guide.

If you are on a Firetext subaccount, please contact us at [email protected] with your Firetext API key and subaccount ID, so we may get you set up.


Administrative users

You may want to set up multiple admin users so you can use Hero collaboratively. You can invite as many users as you need too and they can be mapped to practitioners where applicable.

Once you have multiple admins set up in Hero, you can create teams for notification management.


Hero Booking Links

In today's digital age, providing patients with the ability to book appointments online is becoming increasingly important. This is where booking links come in, allowing patients to easily schedule appointments with specific practitioners, at specific locations, and for specific appointment types. By generating personalised booking links, you can streamline the booking process and make it easier for patients to access the care they need.

Please be aware your slot type will need to have availability in EMIS and be available for online booking in Hero for your link to work.

Templates

If you're planning to send the same message repeatedly in multiple campaigns or individual messages, creating a message template is a good idea. This way, you won't have to repeatedly write out the same message. Hero has some pre-set templates for you to use, but you can create your own if they're not suitable.

Top Tip: When sending patient invite messages, you do not need to write "use the link provided to book", this is already included when you add an invite link.


Go live!

It's time to take your practice live and allow your patients to book appointments online or through a link sent to them. In this section, you will learn how to send out a campaign.

There are a few different types of campaigns you can send, a basic plain text message, a message that includes a patient-specific booking link or a patient-specific questionnaire link. Let's learn how to do this:

Top Tip: We advise making it clear why the patient is being invited to book the appointment when sending appointment links via message.
